Internal Rules of the Sustainable Tourism Working Group

Please note, that these rules will be updated during the next meeting of the working group members.

General

The primary focus of the Working Group is the internal information exchange and the education of the members of the Working Group, then targeting and involving all other stakeholders.

Selection of members

The Working Group is open to all interested parties. CEEweb member NGOs may become full member of the Working Group. Any individual or business organization willing to take part may participate in the meetings or the activities upon the approval of the Working Group. They may also undertake certain tasks under the coordination of the Working Group. The reimbursement of their costs is defined on a case to case basis, in accordance with available funds.

Reporting

The WG's MOs are requested to send a bi-monthly (15th of the month) report, using the mailing list and written documents in Microsoft Word format to the WGC. The report should contain descriptions about the designed tasks/activities according to the WG work program. The WGC should provide the reporting template.

The WGC is requested to support MO's participation in the activities, providing information and administrative assistance relating to the work program. The WGC must prepare reports to the MOs from all the meetings attended as representative of WG, board meetings and annual meeting. The report shall include the description of planned and proposed activities, available funding sources and any information relevant to the WG. All reports will be sent to the mailing list and to the Secretariat to be published on the CEEweb homepage.

Sanctions in case of non-compliance

A MO will loose the position of WG full member if failure to send three consecutive reports, without a well-founded reason. The motion of revocation can be initiated by WGC and will only happen if 3/5th of the WG's MOs approves the revocation. The revoked MO will not loose the position of CEEweb member.

A MO will loose its full member position if the WG revokes the MO. The motion of revocation can be initiated by any member of the WG and will be investigated by WGC. This will only happen if 3/5th of the WG's MOs approves the revocation. The revoked MO will not loose the position of CEEweb member.

The WGC will loose its position if the WG revokes him/her. The motion of revocation can be initiated by any member of the WG and will be investigated by the Board. This will only happen if 3/5th of the WG's MOs approves the revocation.

In the cases not covered by these internal rules, the CEEweb By-laws and the MoU apply.

Fundraising

All members shall inform the Working Group through the mailing list on available funds, with special regards on the opportunities arising in their own countries. The Chair of the Working Group shall inform the CEEweb Secretariat on the grants/tenders the Working Group is willing to apply for. As a default the Chair is responsible for the preparation of the applications. Deviations from this rule can be justified by the criteria stipulated (e.g. place of residence) in the given grant/tender. In such cases the Chair and the Secretariat must consult and agree on the terms and conditions of the given proposal. The member of the Working Group appointed by the Chair with the prior approval of the Working Group and the CEEweb Secretariat shall take the responsibility of preparing the application. The CEEweb Secretariat shall provide all necessary information and support throughout all phases of the preparation of the application. Prior to submission, the CEEweb Secretariat shall approve all applications.
